Implementation Steps
The website is titled Electronic Health Record (EHR) Implementation with the slogan to “ease the transition from paper to electronic health records. The stated objectives include; identifying stakeholders involved in the implementation of EHR, description of the strategies in the implementation and comparison of immediate and incremental approaches to the implementation of EHR. EHR implementation is described on the website as the multi-disciplinary approach to prepare a new system, ensure privacy and security compliance, design practice workflow, train the care team and manage the adoption process of activating the EHR effectively. The website under the module focuses on the discussion of the nine steps involved in the successful implementation of EHR.
The nine steps to the successful implementation of EHR the following steps; creation of an implementation team, configuration of software, identification of hardware needs, transfer of data, optimization of pre-launch workflows, consideration of the room layout, the decision of the launch approach between the big bang and the incremental, development of procedures to be used once EHR is in place and finally the initiation of the training plan. Each of these steps is discussed in-depth, and considerations are given to the responsible stakeholder in the implementation team, and required skills are highlighted from step to step.
The first step focuses on the bringing together of an implementation team that includes the physicians, nurses, receptionists, medical Helpants and administrative staff. There are three important roles in the implementation team, which are held the lead physician, project manager and lead superuser. The clinical members are considered to be double important as they present EHR skills to the team and bring in clinical challenges that need to be addressed by the implementation team. The second step involves the configuration of the EHR software, which is the responsibility of the health IT vendor that works to ensure the software meets all necessary security measures. The configuration follows the conduct of the HIPAA risk assessment and also practices that seek on customizing the software to optimize workflow.
The third step in the implementation, as outline in the website, is the identification of hardware needs. Physicians are free to hire IT service companies and the EHR vendor to help in sourcing the right equipment at the best price available. Additional services include supply, installation and troubleshooting of all devices. The fourth step of the process involves the transfer of data, which is achieved through a process. The process begins with the determination of the approach to be used for migrating data from older recordkeeping systems to the new EHR. A checklist of all items to be entered on the EHR should be prepared and establish the amount of time required to transfer information on the average patient.
Optimization of pre-launch workflows is stated in step five of the implementation process. The step is key to exacerbated problems that result from inefficient works and insufficient support staff in the course of the implementation. Every step of the implementation process is scrutinized and optimized for smooth workflows. Step six concerns the consideration of the room layout, which involves the placement of the computer to enhance and promote communication of staff and physician with the patient. The seventh step is a decision on the launch approach, and there are two to choose from the “big bang” and the incremental. The “big bang” approach is the adoption of EHR through the engagement of all users over to all the functions and on all patients on the same day. The incremental approach functions by turning certain segments of the EHR implementation in certain sites and departments. When the decision is made, the physicians and staff prepare to acclimate the system in practice.
The eighth step focuses on the development of procedures once the EHR is down. Instruction about workflows that should be followed when the EHR is not available, and components of downtime procedures are communicated to the physicians and staff. The last step in the implementation of the EHR is the initiation of training where staff and physicians are provided with the necessary knowledge and skills to utilize the EHR when launching.
The most important step in the implementation step is step five, which deals with the optimization for the pre-launch workflows. The step is critical in the identification of any issues that might affect the workflow of the EHR implementation. Issues that arise about inefficient workflows and insufficient support staff are identified and solved before the launch of the EHR. The step involves the analysis of each step in the implementation and confirms what is necessary for the step, what adds for the patient, is the right procedure followed and are the right people involved.
In conclusion, the EHR implementation steps are anchored to the fifth step, which is critical in the implementation process. The nine steps of the implementation are sufficiently presented on the website, and it is a dependable source of information for readers that seek knowledge to transition from paperwork to electronic health records. As state on the website, there are tactics and strategies presented on the module to offer the understanding of specific needs in practice towards successful implementing an EHR.
