Flexibility must be exercised during the period of project turnaround. The project manager should adopt very fast in bringing the team together to ensure that there is continuity in the project. The project manager should be able to organise the project team during the shortest possible time (Ponce, 2009). If there is a change in certain methods then the project manager should ensure that there is a smooth transition in adopting the method.
Flexibility in managing the structure of the project is important in guiding it to its completion. The project manager must ensure that the project team are more flexible in adapting to small changes that might be put in place within the shortest period of time (Moira, 2017). However, this might be a challenge due to the status quo that is maintained by many organisations. The status quo in leadership have created a number of issues in the general management of the project. Most of the workers work independently and report to the senior manager (Charlie, 2012). However, the absence of the manager might create a number of problems in the organisation.
The project manager should ensure that the requirements of the project are well clarified to the project team during the process of implementing the project. The manager should set out the requirements coordination group within the shortest period of time. The requirement group are important in determining the success of the project by handling some of the situations that might arise during the period of project implementation (Charlie, 2012). Communication should be done appropriately to the team members to make them understand the requirement of the project.
The project manager should develop a quick plan on how to implement the project. The short term plan will form a basis of developing the other large plan. Planning is formed by reviewing some of the requirements that are used in implementing the project.
The project team manager should incorporate a number of techniques to keep the workforce on track in the absence of the manager. Some of the techniques includes integration of new features in the system that are important in bringing change in the general management of the project, employ various tests to measure if the workers and other project team are comfortable with the new management and use other forms of management that are relevant in the process of managing the team project (Ponce, 2009). Therefore flexibility is important in ensuring there is a quick transformation of many activities following the change of management.
I have ever been in a similar situation of even remotely of the three-week project. The project was about the installation of software in one of the computer laboratory in high school. As a student who understands the concepts of IT, I was instructed to install the software that was to be used in the learning process and give some training of how to use the software (Cooper, 2012). The instructor of the institution who was acting as the project manager had already put in place the project team and was working appropriately. Eventually, the project manager left for a seminar for three weeks. In his absence, I was appointed as the project manager to ensure the whole process was successful. I took over the role of the project manager and but it was not easy to implement the project due to a number of challenges that I faced (Charlie, 2012). The project team was not fully aware of the requirements of the project because of the gaps that existed. Therefore the initial task was to clarify to the project team on the requirements of the project. The project was not within the stipulated period and hence there was another task of ensuring that the remaining tasks are completed in time. During the period, the morale of the workers dropped significantly because they were used to the new management. I tried to change the process by organising the motivational takes every day in the morning before the commencement of activities. The talks could bear fruits because the morale of the workers started to rise (Cooper, 2012).
From the experience, I learned a number of lessons. From the experience, communication was important in solving a number of issues and problems faced by team members. Decisions should be made following proper consultation (Moira, 2017).
The methodologies used in ensuring the continuity of the work must be flexible and easily adopted by the project team. The methodologies should not be harsh to the members of the project and should be accepted by all the parties. The procedures of transition should be clearly explained to all members (Cooper, 2012). Communication is necessary for the success of the project.
The idea that it doesn’t matter what you do as long as you get the results are wrong. The process should not only aim at achieving the results but also protecting the apparatus that are contributing to the achievement of the results (Cooper, 2012). The welfare of the workers should be taken into considerations and other factors that are involved. The idea that no good deed goes unpunished in the project management is a true concept because it requires extra efforts and suffering to bring change in managing of various projects.
